Qualification: Graduate or Diploma in Paralegal Practice/Office Administration

Position: Associate - Para Legal & Admin (on Third-Party Payroll position)

Work experience: Minimum 5 years of experience in paralegal or office administration or secretarial support.

Job description:

  • Dealing with Service Providers, Vendors, External law firms such as co-ordinate Vendor documentation for on-boarding.
  •  Co-ordination for internal approvals for Vendor on-boarding
  •  Responsible of Purchase to Payment process of Vendors from documenting engagement of vendors, processing POs, taking note of service received, processing invoicing for payment
  •  Prepare monthly/quarterly reconciliations of Vendor Payments or such other report as may be required
  • Provide all types of administrative support to team members including organising event/travels, making claims post travels, preparing/taking notes, handing incoming /outgoing correspondence, organising team meeting, scheduling meetings etc.
  •  Prepare and format reports, correspondence, and presentations.
  •  Maintain and manage team documentation and filing systems.
  •  Handle internal and external communications on behalf of the team.
  •  Assist with the preparation, review, and proofreading of legal documents and contracts including typing or short-hand.
  •  Conduct legal research and gather relevant information to support casework.
  •  Organise case files and ensure legal records are up to date and compliant.
  •  Monitor deadlines and ensure timely submission of legal case filings.
  •  Manage/ monitor various tools and applications of the teams.
  •  Any other tasks as may be assigned from time to time
  • Requirements:
  •  Strong organizational and multitasking skills.
  •  Excellent written and verbal communication in English is essential. Knowledge of local language will be an added advantage.
  • Proficiency in MS Office e.g. Word, Excel and Power Point is a must and familiarity with legal management systems
